Privacy Policy

Last updated: October 29, 2026

This policy explains, in plain language, how Kugler Services LLC ("Kugler Services," "we," "us") handles information on our website, kuglerservices.com, and in Kugler Books, our client portal at books.kuglerservices.com. It is not legal advice.

Who we are

Kugler Services LLC is a bookkeeping, accounting, and fractional CFO firm for owner-operated contractors, based in Kansas City. We run this website and the Kugler Books client portal.

Part 1: Our website (kuglerservices.com)

What you give us. When you fill out a form on the site, we collect what you type in:

  • the intro-call pre-screener and follow-up forms: name, company, email, your screening answers, and any notes you add
  • the job costing checklist download form: name, email, and (optionally) company

Form submissions go to a Google Apps Script that we run, which emails them to us so we can follow up.

Booking a call. If you book an intro call, you do it on Calendly. Calendly collects what you enter there, and its own privacy policy applies.

Cookies and analytics. The site doesn't load third-party analytics or advertising scripts. Our host, Cloudflare, processes basic technical data (such as IP address and request logs) to deliver and protect the site. We don't use that data to identify visitors for marketing.

Part 2: Kugler Books client portal (books.kuglerservices.com)

Kugler Books is for clients we have invited. You can't sign up on your own.

Account information. For each invited user we keep a name, email address, login, role, and which client company the user belongs to. If you turn on an authenticator app for two-step sign-in, we store what's needed to check your codes.

Client business information. To do your bookkeeping, the portal holds the financial records and documents you or we put into it. That can include documents and receipts you upload, document requests, reports, and data from accounts you authorize us to connect, namely QuickBooks Online (Intuit), bank feeds through Plaid, and Square. We use this information only to provide the services in your engagement with us.

Sign in with Google. Invited clients can choose to sign in with Google instead of a password. Here's exactly what happens:

  • We ask Google only for basic sign-in information (the openid, email, and profile scopes). We don't ask for access to your Gmail, Google Drive, contacts, calendar, or any other Google data.
  • We use your Google-verified email address to find the existing, invited Kugler Books account with that email. If there isn't one, you aren't signed in, and no account is created.
  • Google's response can include your name and Google account ID. We don't store your Google name, Google account ID, or Google access tokens; Google's response is used once to sign you in and then discarded.
  • We don't sell Google user data, share it with third parties, or use it for advertising.
  • Kugler Books' use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

We use information to respond to inquiries, schedule calls, send the resources you request, provide and support our services, keep accounts secure, and meet legal and professional obligations. We don't sell personal information, and we don't use client data for advertising.

Service providers

We rely on a few providers to run the site and the portal. They process information on our behalf:

  • Cloudflare: website hosting, DNS and security; file storage for the portal (Cloudflare R2)
  • Render: hosts the Kugler Books application and its database
  • Google: Google Workspace email, the Apps Script that receives website forms, and Sign in with Google
  • Calendly: booking intro calls
  • Intuit (QuickBooks Online), Plaid, Square: only when a client authorizes a connection
  • An email delivery service: sends portal account emails, such as invitations

We may also disclose information if the law requires it, or to protect our rights or the security of our systems.

Security

We use reasonable measures to protect information. These include encrypted connections (HTTPS), encryption of stored connection tokens, optional two-step sign-in for clients, and access limited by role and client company. No system is perfectly secure, so please keep your login safe and tell us if you think your account has been compromised.

Retention

We keep information only as long as we need it to provide our services and to meet our legal and professional obligations. After that, we delete it or de-identify it.

Your choices and requests

You can ask us to show, correct, or delete the personal information we hold about you, or to stop contacting you. Write to us at the address below. We may need to confirm who you are, and we may keep some records where the law or our professional obligations require it. Clients can stop using Google sign-in at any time and sign in with a password instead. You can also remove Kugler Books' access in your Google Account settings.

Children

Our website and portal are for businesses and aren't directed to children under 13 (or under 16 where local law sets a higher age). We don't knowingly collect their information.

Changes

We may update this policy as our services change. When we do, we'll change the "Last updated" date above. For a significant change that affects clients, we'll tell clients directly.
